A product that serves a sole trader in the United Kingdom can fail a Hong Kong company at year-end, when the auditor asks for an audit trail export the software cannot produce.

Hong Kong Accounting Software Features

The features that matter in Hong Kong differ from those that matter elsewhere. Under the Companies Ordinance (Cap. 622), a Hong Kong company must maintain accounting records that show and explain every transaction and disclose the financial position with reasonable accuracy. The software must therefore support:

  • A chart of accounts aligned with the chosen reporting framework. If your company qualifies for the reporting exemption under section 359, the chart should follow SME-FRS rather than full HKFRS. If it does not qualify, the chart must accommodate the full set of HKFRS requirements.
  • Multi-currency functionality. Hong Kong companies transact in Renminbi and US dollars routinely, alongside other currencies. The software must handle transactions in the functional currency and translate foreign currency items correctly for the statutory accounts.
  • An audit trail that cannot be altered. The software should log every change to a transaction or balance, showing who made the change and when. Hong Kong auditors will ask for this export during the statutory audit.

A small trading company that qualifies for the reporting exemption may need only a lower-cost package with a simplified chart of accounts. A medium-sized company applying full HKFRS with multiple subsidiaries needs software that supports consolidation and intercompany eliminations.

The leading options in the Hong Kong market include:

  • Xero: Strong multi-currency support, bank feeds for Hong Kong banks, and a growing library of add-ons for local payroll and MPF. Xero's chart of accounts can be customised to match HKFRS or SME-FRS.
  • QuickBooks Online: Widely used by small Hong Kong businesses. The international version supports multi-currency and bank feeds, but the chart of accounts requires manual setup to align with Hong Kong reporting standards.

The risks relate to data location. The Companies Ordinance does not require accounting records to be kept in Hong Kong, but the company must send to and keep in Hong Kong accounts and returns sufficient to disclose the financial position. If your cloud software stores data on servers outside Hong Kong, you must ensure you can produce the required information on demand. Check the software provider's data residency options before you sign up.

Multi-Currency and Functional Currency

Hong Kong companies often operate in more than one currency. The software must allow you to set a functional currency, typically Hong Kong dollars, and record transactions in other currencies at the exchange rate on the transaction date. At the end of the financial year, the software should translate monetary items at the closing rate and recognise exchange differences in profit or loss.

If the software cannot handle this process automatically, the year-end adjustments will be manual. That increases the risk of error and the cost of the audit.

Chart of Accounts Aligned to HKFRS or SME-FRS

The chart of accounts is the skeleton of the financial statements. A Hong Kong company must present its financial statements in a format that complies with Schedule 4 of the Companies Ordinance and the applicable reporting framework. The software should allow you to build a chart of accounts that maps directly to the line items in the financial statements.

For a company using SME-FRS, the chart of accounts can be simpler. For a company using full HKFRS, the chart must accommodate more detailed classifications: separate line items for right-of-use assets under HKFRS 16, deferred tax assets and liabilities.

Audit Trail Export and Auditor Access

The auditor will request an audit trail export during the statutory audit. The export should show every transaction, every adjustment and every change to the opening balances. If the software cannot produce this export in a format the auditor can read, the audit will take longer and cost more.

Some cloud accounting platforms allow the auditor to log in with read-only access. This can reduce the time the auditor spends on site and speed up the audit. Ask your auditor which platforms they prefer before you choose.

Seven-Year Record Retention

The Companies Ordinance requires a Hong Kong company to keep accounting records for seven years from the date of the transaction or the end of the financial year to which they relate, whichever is later. The software must allow you to retain historical data for this period without degrading performance or increasing cost unreasonably.

If you switch software, export the historical data and store it in a format that remains readable for seven years. Do not assume the old software will still be available. Do not assume the new software will import the old data correctly.

Bank Reconciliation and Monthly Close

Perform bank reconciliation at least monthly. The software should match transactions from the bank feed to the entries in the accounts receivable and accounts payable ledgers and flag unmatched items. A monthly close process, including review of the fixed asset register and depreciation entries, keeps the accounts audit-ready throughout the year.

Integration with Hong Kong Payroll and MPF

The software should calculate MPF contributions for each employee, produce the monthly remittance statement for the MPF trustee, and generate the annual BIR56B return. If the software does not support Hong Kong payroll natively, you will need an add-on or a separate payroll system. The payroll data must feed into the general ledger so that salary, MPF employer contributions and salaries tax accrual are recorded correctly.
